How to Manage Employee Leave

In Verde HR You can identify the holidays that an employee has had, is having, or that have been booked for the future. The system  stores all employees’ holiday history N.B. the dafault view is the current leave year, but you can report across leave years. This along with the staff planner can help you plan and organise employee leave. The system also calculates the number of holidays booked and the amount of holiday entitlement remaining for each employee. Open the employee record of the employee whose holidays you want to manage. Open Attendance in the employee side menu (see 1 on the screenshot below) from the side menu this will open a new menu below the top menu, select Holidays  (see 2 on the screenshot below) from that menu
All holidays which an employee has booked for the current leave year will be listed at the bottom of the screen. The holiday list will include Company Holidays if they have been created and not disabled at the Company level for that employee and  Statutory Holidays if not disabled at the Company level.

How to Manange a Leave Request

Go to Employee/Attendance/Holidays this will open the employee’s holiday record

From the My Holiday List (see 3 on the screenshot below) select the holiday record you want to manange

Press on Select (see 4 on the screenshot below) to open that record

If you are being asked to approve a leave request, choose the holiday status from the Set Status drop-down menu (see 5 on the screenshot below) . Click on the Status field and a list of options will show as follows: requested, under review, approved, rejected, cancelled, or other.

You may wish to read any comments the employee may have made regarding the request or to add some comments of your own. You can do this, if you wish, in the Holiday Notes Box (see 6 on the screenshot below)

Click on the Save (see 7 on the screenshot below) button  to confirm your decision.

N.B If you do not click on save, your actions will be lost, once you open another holiday record or move to another page.
Once you press save the staus of the request will be changed and the employee will receive an e-mail confirming you decision.

How to Create or Amend a Holiday Record

You can use this feature to manange manual holiday requests, or to edit holiday rquests that have been submitted online.
  • From the My Holiday List (see 3 on the screenshot below) select the holiday record you want to manange
  • Press on Select (see 4 on the screenshot below) to open that record
  • You can clear the existing data from a form by selecting the yellow Clear button (see 8 on the screenshot below)
  • Type in the number of holiday days/hours requested in the Holiday Duration  field (see 9 on the screenshot below).
  • Select the period of holiday requested from the Period drop-down menu (see 10 on the screenshot below). Click on the Period field then a list of options will show as follows: Not Set, Hour Rate (used when employee’s holidays are expressed in hours) Full Day, Half Day, Half Day Morning, Half Day Afternoon, Part Day Morning, Part Day Afternoon, Other See Notes.
  • Click on the Start Date field (see 11 on the screenshot below) and a calendar will show. Select the start date of the holiday requested.
  • Click on the End Date field (see 12 on the screenshot below) and a calendar will show. Select the end date of the holiday requested.
You can input a date by either using the calendar or typing it in using the format dd/mm/yyyy.
  • Type in some notes (if you have got any) in the Holiday  Notes field (see 6 on the screenshot below)
  • Click on the Save button (see 13 on the screenshot below) to save your data.
    Holidays created on the Employee Page do not generate e-mail notifications to either the employee or the manager. Only holidays requested via Self-Serve do this.
N.B If you do not click on save, the data will be lost, once you open another holiday record or move to another page.

How to Delete a Holiday Record

  • From the My Holiday List (see 3 on the screenshot below) select the holiday record you want to manange
  • Press on Select (see 4 on the screenshot below) to open that record
  • Press the red Delete button (see 14 on the screenshot below)
When you delete …, you must click on Save to save your update  otherwise the record will be reinstated when you move to a new page or press clear to create a new record.
