Assign a Vehicle to an Employee

In Verde HR,  you can assign vehicles on the vehicle inventory list  to an employee.
You can assign a vehicle to an employee in the Employee section of Verde HR. To assign a vehicle to an employee, log on to the software. It will automatically open in Self-Serve on the My Holidays page; Click on Employee (see 1 on the screenshot below) in the Top Menu, then select Assets (see 2 on the screenshot below) from the side menu this will open a new menu below the top  menu, select Vehicle (see 3  on the screenshot below) from that menu.

How to Assign a Vehicle to an Employee

To assign a vehicle to an employee go to Employee/Assets/Vehicle and follow the steps outlined below:

  • Select the vehicle from the dropdown list in the Select the Vehicle field (see 4 on the screenshot below),
  • Select the time and the date the vehicle was assigned from the calendar in the  Date/Time Assigned  field (see 5 on the screenshot below) ,
  • Select the Yes or No to determine whether on not this is the Active Vehicle in the Current Vehicle  field (see 6  on the screenshot below).
Only vehicles designated active vehicles will appear in the employee’s self-serve to allow them to carry out vehicle inpection via the vehicle inspection feature in Self-Serve.
  • Click on Save (see 8  on the screenshot below) to save the details you have entered for the vehicle
N.B If you do not click on save, the the vehicle assignment will be lost, once you clear the form, or move to another page.
  • You can unassign a vehicle from an employee by selecting the time and the date the vehicle was unassigned from the calendar in the  Date/Time Unassigned  field (see 7 on the screenshot below).
  • To create another vehicle assignment, click on the Clear button (see 9 on the screenshot below) This will clear the data from the form and you can create another vehicle assignment as outlined above.

How to Edit or Delete Vehicle Assignments

  • If you want to view or edit any of the vehicle assignments in the assigned list, you will find them listed at the bottom of the screen under Assigned List, (see highlighted section 10 on the screenshot below)
  • Click Edit (see section 10  on the screenshot below) on the vehicle assignment you would like to view or edit,. You can change the information by rewriting it as outlined above.
  • You can delete completely a vehicle assignment by selecting the vehicle  from the assigned list at the bottom of the screen, (see highlighted section 9 on the screenshot below) and pressing the Delete button (see section 12 on the screenshot below).
When you delete a vehicle assignment, you must click on Save to save your update  otherwise the vehicle assignment will be remain when you move to a new page or press clear to create a new record.
