How to Assign an Employee to a Job

You can assign an employee to a job role in  in Verde HR. Assign an Employee to a job role, log on to the software. Self-Serve opens automatically in My Holidays; Click on Employees (see 1 on the screenshot below) in the Top Menu, then select Organisation (see 2 on the screenshot below) from the side menu this will open a new menu below the top menu, select Job (see 3 on the screenshot below) from that menu

Assign an Employee to a Job

When you select Employees/Organisation/Job as outlined above it will open the Job page where you can assign an employee to a job.

To create a new job record for an employee complete the fields as outlined below.

  • Job Title, (see 4 on the screenshot below)  select the Job Title from the drop down list these jobs have already been set in the Admin Section of Verde HR
  • Reports to (see 5 on the screenshot below) Select Reports to  from the drop down list of all employees in your Company
    An employee needs to have a person set in the reports to field otherwise the holiday alerts will not work. N.B. you can set others to receive holiday alerts, but you must set a reports to in the active job.
  • Job Type(see 6 on the screenshot below)  , choose the Job type of the employee from the drop-down
  • Job Category (see 7 on the screenshot below), choose the Job type of the employee from the drop-down.
    Although we refer to employees you can include contractors, volunteers, and other non-employed associates by selecting the appropriate Job Type and Category.
  • Department (see 8 on the screenshot below), select the Department from the drop down list these Departments have already been set in the Admin Section of Verde HR
  • Active Job, (see 9 on the screenshot below).  .
    The system keeps a record of all jobs a person has had, consequently, it must identify the current job as active so it know which mananger to altert with e-mail notifications.
  • Working Days (see 10 on the screenshot below), select the working days the employee is contracted to work
  • Start time (see 11 on the screenshot below)
  • End Time(see 12 on the screenshot below)
    This is the start and finish time of the employee.
  • Telephone (see 13 on the screenshot below)
  •  Mobile (see 14 on the screenshot below)
  • Contract Hours (see 15 on the screenshot below)  
    This is the contracted hours per week of the employee.
  • Job Location (see 16 on the screenshot below), this is the location of work/office
  • e-mail Address (see 17 on the screenshot below)  
    This may be the same as the username which must be an e-mail address.
  • Job Start date (see 18 on the screenshot below)
  • Job End Date (see 19 on the screenshot below)
  • Job Description (see 20 on the screenshot below)  You can add information about the job here

Click on Save (see 21 on the screenshot below) to save your data.

N.B If you do not click on Save, the data will be lost, once you move to another page.

Amend or Delete a Job Role Record

  • If an employee has a new job role, click on the Clear (see 22 on the screenshot below) tab to clear the form. Update the new details and press Save
  • The history of an employee’s jobs will be listed below Job History  (see 23 on the screenshot below) at the bottom of the page
  • If you want to edit a job role, select the job you want to edit from the list, click the yellow Edit (see 24 on the screenshot below) button, this will open the Job Details for the job  you want to edit .
  • Click on Save to save your changes.

N.B If you do not click on Save, the data will be lost, once you move to another page, or press Clear to Create or amend another record.

  • To delete a Job Record , select the job you want to delete from the list, click the yellow Edit button, this will open the Job Details for the job you want to delete .
  • Press the red Delete (see x on the screenshot below) button
When you delete a job record, you must click on Save to save your update  otherwise the record will be reinstated when you move to a new page or press clear to create a new record.
